A QR code inspection in practice

An employee walks up to a machine, room or vehicle and scans the QR code with their phone camera. The checklist assigned to that place opens straight away — no account, no login, no app to install.

Questions appear one at a time with large answer buttons. Compliant answers turn green and non-conformities red, so problems are visible while the inspection is still running.

When it is finished the inspection lands in the company panel as a complete report with a number, timestamp and outcome. Tapping an NFC tag works exactly the same way.

What is recorded during an inspection?

Answers with a visible outcome

Compliant, non-compliant and “not applicable” — colours and icons show the state at a glance.

Photos from camera and gallery

Up to 4 photos per question; the checklist author decides whether the gallery is available too.

Comments and closing notes

A description next to the question plus closing notes rated positive, neutral or negative.

On-screen signature

A finger signature goes onto the report together with the date and time of completion.

Who performed the check

You can require a name even when the inspection runs without logging in.

It works without coverage too

Answers are stored on the phone while the inspection runs. If there is no internet in the hall, warehouse or basement, the inspection waits and sends itself once the connection is back.

A started inspection stays open for up to 12 hours. Switching to the camera, taking a call or locking the screen does not erase the answers already given.

QR code or NFC tag?

QR code

Print it on an ordinary printer and stick it somewhere visible. It opens with the phone camera on both Android and iPhone.

NFC tag

Write it straight from the app on an Android phone, optionally locking it permanently. A tap starts the inspection — no aiming the camera.

One company can use both at once — they lead to the same checklist.

What happens after the inspection?

The result becomes a report with a number, the list of answers, photos and the signature — ready to print or save as PDF.

IF → THEN rules create corrective actions automatically: a chosen answer opens a task with a priority, due date and assignee.

If the checklist asks for it, an e-mail field appears at the end — once filled in, the report is sent to that address with a link to the online version.
